Connect Microsoft 365 email to Claude or ChatGPT

The examples use John at Plumbing Co and john@plumbingco.example. Replace this with your own work email address.

ChatGPT: connect your Microsoft 365 email

1. Sign in to ChatGPT.
2. Open the Plugins directory. Your interface may instead show an Apps connection area.
3. Find Outlook Email, inspect its details, and install or connect it. If already installed, open its connection settings.
4. On the Microsoft sign-in page, enter your work email address and password, then complete any verification prompts.
5. Return to ChatGPT. Start a new chat if needed, then select the Outlook app or mention it with @.

• “Use Outlook Email to summarise customer enquiries from the past seven days. List each customer, what they need and any dates they mentioned.”
• “Find the latest email from a customer about a leaking tap. Summarise the problem and include a link to the email.”

Claude: connect your Microsoft 365 email

Use your own Claude account in the workspace Plumbing Co has approved. Your administrator handles organisation approval; you connect your own Microsoft account.

1. Open Claude and go to Customize → Connectors.
2. Find Microsoft 365 and choose Add or Connect.
3. Choose Work or school account if prompted.
4. Sign in as john@plumbingco.example and complete Microsoft’s authentication steps.
5. Return to Claude and confirm that Microsoft 365 is connected.

Try a specific, read-only request: “Find the email in my Outlook inbox with subject Plumbing Co connector test and summarise it. Do not send or change anything.” Use a harmless test email you know is present, then compare the result with Outlook.

Administrator setup and troubleshooting

The remaining instructions are for Microsoft 365 and AI workspace administrators.

Before you start: Entra, Exchange and account approval

For these connections, Microsoft app consent is managed in Microsoft Entra. You can start at Microsoft 365 admin centre, then open the Identity admin centre, or go directly to Microsoft Entra admin centre. Confirm that the selected directory is Plumbing Co.

Exchange manages the mailbox and its delegation. You do not normally add Claude or ChatGPT as an Exchange mailbox user. In Entra, look under Enterprise applications for the provider’s application. Do not create an app registration of your own for a standard provider connection.

There are separate decisions: approving Microsoft’s requested permissions, deciding which staff can use the app, and connecting John’s account. Tenant-wide consent can allow other staff to use the app unless you restrict assignment. It does not mean every mailbox is automatically connected. ChatGPT: instructions for the administrator

1. Make Outlook available in the approved workspace

A Microsoft administrator and a ChatGPT workspace administrator may be different people. Coordinate both roles if Plumbing Co uses a managed ChatGPT workspace.

1. Open Admin console, select Plumbing Co’s workspace, and open Plugins.
2. Find the plugin containing Outlook Email. Review its installation setting and included app access.
3. Allow John to use the app through the supported workspace or role controls.
4. Review Tools or Actions. Enable only the capabilities Plumbing Co needs. Review permissions for asking before actions separately.

Some interfaces retain an Apps settings page or Manage Legacy Apps. Installing a plugin, allowing its app and authorising Microsoft access are separate steps. OpenAI’s plugin administration guide explains these controls.

2. Complete Microsoft approval

Using your own approved ChatGPT account, initiate Outlook’s connection or permission-review flow from the official interface. Authenticate to Microsoft with the authorised Plumbing Co admin account, not John’s credentials. Use the Microsoft approval screen it supplies to identify the correct application. Verify the OpenAI publisher, application identity and Plumbing Co tenant; a familiar app name alone is insufficient.

If the application is already provisioned, an authorised Entra administrator can open Enterprise applications → the verified application → Permissions → Grant admin consent. Review the actual request. The role needed depends on its permissions; being an Exchange administrator alone does not establish consent authority. A pending request from John is not required to grant consent to an existing application. Microsoft documents this approval route.

For a John-only pilot, configure supported Entra user-assignment restrictions on the verified application and assign John. Check other users of that application before changing its tenant-wide properties. Keep ChatGPT’s workspace app access aligned with the pilot. If Plumbing Co does not have a managed ChatGPT workspace, those workspace controls will not be available. Microsoft consent still follows the tenant’s policies. Confirm Outlook availability in the intended account before approving anything. Do not reuse Claude’s application IDs or consent links.

Claude: instructions for the administrator

1. Enable and approve the Microsoft 365 connector

1. Sign in with a Plumbing Co Microsoft Global Administrator account.
2. For Claude Team or Enterprise, an owner enables Microsoft 365 under Organisation settings → Connectors.
3. In your own Claude account, select Customize → Connectors → Microsoft 365 → Connect. Authenticate with the work admin account.
4. Verify the organisation, app and permissions before granting organisation consent.

No request from John is needed. Without a Claude account, follow Anthropic’s manual Graph Explorer and consent steps for both applications. Copy the current IDs from the official Claude administrator guide.

2. Limit use to John

Claude uses two enterprise applications: M365 MCP Client for Claude and M365 MCP Server for Claude. To make John the pilot user:

1. Open the first application in Entra.
2. Under Properties, set Assignment required? to Yes and save.
3. Open Users and groups → Add user/group. Select John and assign him.
4. Repeat for the other Claude application with the same authorised users.

Assignment controls who can connect. It does not narrow John’s existing mailbox or file permissions. Claude’s delegated access may include shared mailboxes, SharePoint, OneDrive and Teams content John can already access. Review the resource permissions as well as the user list. 3. Check reading and writing separately

Check the current permission request for send and write access. Keep write tools disabled for a reading-only pilot and review the grants. Re-consenting can restore the full permission set. Check the permissions reference before approving.

Optional: let users request admin approval

This workflow is useful when Plumbing Co wants John to request a review instead of the administrator approving an app in advance. It does not automatically approve applications.

1. As a Global Administrator, open Entra ID → Enterprise applications → Consent and permissions → Admin consent settings.
2. Enable Users can request admin consent to apps they are unable to consent to.
3. Choose reviewers, email notifications, reminders and an expiry period. Save.
4. Allow for propagation; Microsoft says enablement can take up to an hour.

Microsoft’s workflow setup guide explains the required roles. Naming someone as a reviewer does not give them additional consent privileges.

John can then try connecting, explain his business need and submit the request if that option appears. The reviewer opens Enterprise applications → Admin consent requests → My Pending and reviews the app and permissions. Approval is still tenant consent, so check assignment restrictions when only John should use the app. Reviewing approval requests.

Troubleshooting and checking the result

• Approval required: check Microsoft consent, the selected tenant and whether John has been assigned.
• Disabled or missing in the AI service: check workspace availability and app access. Microsoft approval cannot enable an app blocked by the AI workspace.
• Connected but no email results: confirm the connected account and test an exact subject and date. A connection badge does not prove the mailbox search works.
• Sign-in succeeds but tools fail: ask the administrator to inspect Entra sign-in logs and Conditional Access results. Identify the failing policy before changing security settings.
• A tool can read but cannot write: check both the Microsoft permission grant and the AI service’s action settings.

For Plumbing Co, a successful pilot means John can find the intended test email using his own account, the administrator has confirmed the approved permissions, and access is limited to the intended staff. Review the pilot before extending it to the rest of the business.
